Job overview:
We are looking for an organised, proactive and people-focused HR Executive to join our People & Culture team.
This is a hands-on operational role supporting the full employee lifecycle, from onboarding and HR administration through to payroll coordination, performance management and offboarding. The successful candidate will work closely with employees, managers and internal stakeholders to ensure that day-to-day HR processes are handled accurately, efficiently and in line with company policies and Maltese employment legislation.
Core Responsibilities
Coordinate employee onboarding and offboarding processes, ensuring all documentation, system updates and internal notifications are completed accurately and on time.
Prepare employment contracts, amendments, confirmation letters and other HR-related documentation.
Maintain accurate employee records and ensure that information held within the HRIS is complete and up to date.
Process Jobsplus engagement and termination forms and support employment permit administration where required.
Support the monthly payroll process by preparing and validating employee changes, allowances, deductions, leave information and other relevant payroll inputs.
Respond to day-to-day employee queries and provide guidance on HR policies, procedures and employment-related matters.
Work closely with managers and employees to support effective communication and positive employee relations.
Monitor probation periods, contract renewals, leave records and other key employee lifecycle deadlines.
Coordinate performance management processes, including review cycles, documentation and follow-up actions.
Support the administration and coordination of employee benefits.
Assist with training coordination, attendance records and related documentation.
Prepare HR reports, trackers and employee data to support operational and management requirements.
Support employee engagement, well-being and internal communication initiatives.
Ensure HR processes and documentation comply with company policies, data protection requirements and Maltese employment legislation.

Job requirements
Previous experience in an HR Executive, HR Officer, People Operations or similar generalist role.
Practical experience in HR administration, employee lifecycle processes, contracts and HR documentation.
Experience supporting payroll administration and maintaining HRIS records.
Good knowledge of Maltese employment legislation and HR best practices.
Strong organisational and time-management skills, with excellent attention to detail.
Ability to manage multiple priorities and meet important deadlines.
Excellent communication and interpersonal skills, with the confidence to work effectively with employees and managers at different levels.
A high level of discretion and professionalism when handling confidential and sensitive information.
Proficiency in Microsoft Office and confidence using HR systems and other digital tools.
Bachelor’s degree in Human Resources, Business Administration or a related field, or equivalent relevant experience.
Fluency in English; knowledge of Maltese or another European language would be considered an asset.
